AGRIMA logo

A CRM that follows every hectare, harvest and offtake contract.

AGRIMA runs 7,000+ acres of mechanised farming — soy, palm, sunflower and maize — heading to 20,000. We built a HubSpot CRM that tracks offtake contracts with local industry, land expansion projects and supply commitments in one system.

The challenge

Offtake negotiations with local transformation industries lived in personal email and WhatsApp threads, with volumes, prices and delivery windows agreed verbally and rarely written down in one place.

Each crop line — soy, palm, sunflower, maize — was managed by a different team, so nobody could see committed volumes against expected yield before planting decisions were made.

Land expansion projects, institutional relationships and equipment suppliers were tracked in separate spreadsheets, making the path from 7,000 to 20,000 acres impossible to plan against real commercial demand.

Our approach

  1. 01HubSpot CRM as the single system of record for buyers, institutional partners, suppliers and land projects, with a shared data model across commercial and agronomy teams.
  2. 02Two dedicated pipelines: Offtake & Supply Contracts (per crop, volume, price basis and delivery window) and Land & Expansion Projects (from land identification to clearing, mechanisation and first harvest).
  3. 03Custom properties for crop line, hectares under contract, committed tonnage and season, so commercial commitments can be read against planted area at any moment.
  4. 04Automated workflows for contract renewal reminders by season, delivery-window follow-ups and internal approvals above volume or price thresholds.
  5. 05Leadership dashboards on committed tonnage by crop, contract value per buyer, expansion project status and acres progressing toward the 20,000-acre target.

What we shipped

  • Offtake contracts structured by crop, volume and season.
  • Land expansion tracked as a pipeline, not a spreadsheet.
  • Committed tonnage visible against planted area.
  • Dashboards on contract value per buyer and per crop line.

Results in detail

+41%Contracted volume

Buyer conversations are structured per crop and season, so demand is secured before planting instead of chased after harvest.

−60%Less contract admin

Volumes, price basis and delivery windows are CRM fields with automated reminders, replacing manual follow-up across inboxes.

100%Commitments in one place

Every offtake agreement is logged and owned, so committed tonnage can be read against planted area at any moment.

20kAcre roadmap tracked

Land identification, clearing and mechanisation run as pipeline stages, giving leadership a real view of the expansion path.

Could this work for you?

If any of these sound familiar, we should talk.

  • You sell commodity volumes and agreements live in email and chat.
  • You manage several crop or product lines with separate teams and no shared view.
  • You need committed volumes visible against production capacity.
  • You are scaling land, plants or sites and want expansion tracked like a pipeline.
