Of all the levers in a revenue system, first-response time is the cheapest to fix and the most consistently ignored.

Why speed compounds

A prospect who fills a form is comparing options right now. Reaching them while intent is live raises qualification rates, shortens the cycle and reduces the number of follow-ups needed per deal. The advantage is not politeness, it is position: the first credible conversation frames the requirement.

Targets that hold up in practice

  • Inbound demo or quote request: first attempt within 15 minutes during business hours.
  • Portal or marketplace enquiry (real estate, travel, marketplaces): under 5 minutes.
  • Content download: same-day, and only if the content signals buying intent.
  • WhatsApp or chat: under 2 minutes, or use an explicit auto-reply with a promised window.

Instrument it before you improve it

Create a first-response timestamp property, set it on the first logged call, email or message, and report the delta from creation. If it is not a property, it is not a metric โ€” and it will not improve.

Enforce with routing, not reminders

Route by territory, language, product and availability. Add escalation: unclaimed after X minutes reassigns to a backup owner and notifies the manager. Round-robin without escalation quietly parks leads with whoever is on holiday.

Remove the friction that causes delay

Most delay is structural: forms that do not notify, leads landing in a shared inbox, no mobile access, no clear owner outside office hours. Fix the plumbing before coaching the team.

Report it weekly, by segment

Median and 90th percentile response time by owner, channel and language. Median hides the outliers that lose the largest deals.

The Gulf and multi-timezone nuance

If you sell across GST, CET and EST, define coverage windows and a documented handover. A 12-hour reply to a Dubai enquiry from a European team is a lost lead, not a timezone excuse.
