A CRM rarely fails at launch. It degrades: 400 unused properties, six overlapping workflows, three definitions of "qualified lead", and a report nobody trusts. Governance is what prevents that, and it costs about two hours a month.
Naming standards that survive turnover
Adopt a prefix convention and apply it to everything: [Sales] Deal stage reminder, [Mktg] Nurture โ manufacturing, [Ops] ERP sync error alert. Add an internal description to every workflow and property stating purpose, owner and creation date. Six months later this is the difference between editing and rebuilding.
Use the sandbox for the changes that matter
Not everything needs testing. Route to a sandbox anything that touches: lifecycle stage logic, deal stage automation, integration field mappings, lead routing, or anything that writes to more than 100 records. Test with copied records, verify the report output, then port the change with a note in the changelog.
Permissions by role, not by trust
Design four levels: rep (own records, no property creation), manager (team reports, no automation), ops admin (properties, workflows, integrations), super admin (billing, users, API). Two super admins maximum. Property creation left open to everyone is the single fastest way to end up with phone_2, Phone number, and Tel (new).
A change process that people actually follow
- Request logged in one place with the business reason and expected report impact
- Ops reviews weekly; anything under 15 minutes is done immediately
- High-risk changes tested in sandbox and scheduled outside month-end
- Changelog entry: what changed, why, when, by whom
- Quarterly cleanup: archive unused properties, deactivate dormant workflows, retire duplicate reports

- Properties created versus properties used in a report or workflow
- Deals with missing required fields at closed-won
- Workflows with zero enrolments in 90 days
- Duplicate contacts and companies
- Integration sync errors by system

Standard sandboxes come with Enterprise tiers; on lower tiers the practical alternative is a controlled test with a limited record set plus a documented rollback.
