Case study · Bioil Afrique

One card. Zero more calls at 4 AM to a Dakar partner.

Bioil Afrique's partner network spans French-speaking Africa, Europe and the Gulf. When every phone in the pipeline lives in a different timezone, a small UI change on the HubSpot record moved real numbers — connect rate, no-shows, ops load.

The challenge

A partner network across five timezones, run by a team on Rome time.

Bioil Afrique operates a fast-growing circular-economy network — collecting and regenerating used cooking oil through hundreds of partners across Côte d'Ivoire, Senegal, Morocco, France and Italy, with industrial accounts like Eni in the mix.

The sales and partner-ops team is based in Italy, but the HubSpot pipeline talks to counterparts in five active timezones. Before Timezone Sync, every outreach came with a mental-math tax that eventually stopped happening.

  • Cold calls to Dakar and Abidjan partners landing at 6 AM local — trust burnt on the first ring.
  • Meeting invites confirmed in the wrong local time, no-show rate climbing on cross-continent calls.
  • Renewal and QBR emails going out at 3 AM local, cold in the inbox by morning.
  • Ops team switching to time.is and Google before every touch, then quietly skipping the check.
The solution

Timezone Sync on the HubSpot portal, no new tool for the team.

We installed Timezone Sync as a CRM card on Contacts and Companies inside Bioil Afrique's HubSpot portal. No new dashboard, no new login — the live local time simply appeared where the team already worked.

For records missing the Time Zone property, the card resolved timezones from Country, State and international phone prefix. A short workflow then backfilled the native HubSpot Time Zone field so downstream sequences and reports stayed consistent.

01
Install & map the card
Deployed via the standard HubSpot connected-apps flow. The card was pinned to both Contact and Company records from the portal-level record customization.
02
Backfill legacy records
A one-off pass resolved the timezone for existing partners using country + city + phone prefix, closing the coverage gap on ~4,200 legacy records.
03
Wire it into workflows
Sales sequences and lifecycle emails were switched to send in the recipient's local morning; the SDR queue now sorts by 'Good time to call' first.

The results

Small UI change on a HubSpot card. Measurable pipeline impact.

+34%
Connect rate on first dial
SDRs stopped catching partners before opening hours. Cross-TZ connect rate jumped within the first two weeks.
−27%
Meeting no-shows
Invites confirmed and sent in the correct local time reduced cross-continent no-shows immediately.
~6h/wk
Ops time saved
The internal timezone-check ritual disappeared. Ops reclaimed the equivalent of most of a working day per week.
<10 min
Time to live
From the portal install click to the first record showing the live clock. No procurement, no training deck.
"Before Timezone Sync we were burning first impressions with a 6 AM ring. Now the local time is on the record — the team just… stops making the wrong call. It's the smallest tool we deployed this year and one of the ones we quote the most."
